Introduction
Employees’ Provident Fund Organisation (EPFO) provides EPF scheme is a kind of savings account to benefit the employees. Both registered employer and employee need to equally contribute a certain percentage at regular intervals to the Employee Provident fund.
EPF scheme is only applicable to those individuals with monthly earnings up to Rs 15,000. But employers and employees who are not a part of the scheme can voluntarily register for PF.
The employer can make online payments either on the EPFO website or by authorised bank website (direct payment through their website) in which he has an account and net banking.
The 10 banks that can assist in PF online payment are SBI, PNB, Indian Bank, Allahabad Bank, Union Bank of India, Bank of Baroda, HDFC Bank, ICICI Bank, Axis Bank, and Kotak Mahindra Bank.
All companies compulsorily need to do PF online payment from September 2015.
Steps for PF online payment
Step-1: Go to the EPFO website portal and login using your Electronic Challan cum Return (ECR) credentials.
You need to ensure that your establishment details such as establishment ID, Name, address, exemption status etc shown are correct.
Step-2: Select ECR upload from the Payments option dropdown.
Step-3: Select the particular ‘Wage Month’, ‘Salary Disbursal Date’, Rate of contribution and upload the ECR text file.
The uploaded ECR file will be validated for predefined conditions and a screen will appear with the message ‘File Validation Successful’. If the ECR file is not validated, an error will be displayed on the screen. Correct the ECR text file for the specified format and upload it again till it is successfully validated.
Step-4: In the same page, the generated TRRN will be displayed for the uploaded ECR file. Then, click on ‘Verify’
Step-5: Next, click on ‘Prepare Challan’ option to generate an ECR summary sheet.
Step-6: Now enter Admin/Inspection Charges and click on the ‘Generate Challan’ Button.
Step-7: Next step is to click on ‘Finalize’ button after verifying the challan amount.
Step-8: Finally, Click on Pay against the relevant TRRN.
Select payment mode as ‘online’ and choose from any of the banks appearing in the drop-down menu and click on ‘continue’ option.
This action will take you to your bank’s internet banking login website where you need to log in and make the payment through net banking.
Payment / Transaction-id will be generated and an e-Receipt for the transaction confirmation will be populated when your payment is successful.
This transaction will be updated on the EPFO Portal.
The confirmation of payment against the TRRN number will be provided by the EPFO.

What is UAN number?
Universal Account Number (UAN), is a 12-digits of unique identification number which is provided by the employer to the employees on registration with Employee Provident Fund (EPF).
Is Employer and Employee contributions towards EPF account is tax-free?
Under the EPF, employer contributions are exempted from the tax, but employee contributions are taxable if the interest earned is above Rs 2.5 Lakh per annum.
What are all the excluded from the EPF?
There are multiple things which are excluded from the computation of EPF contributation, such as –
- Bonus
- House Rent Allowances (HRA)
- Over Time (OT)
- Food allowances
How can an employer resolve the error message that appears during the registration of the organisation?
Followings are the errors that may occur during the registration, such as –
- Your Organisation is already registered – If You have already registered the organization and forgot the same, In such case, you have to send mail to the EPFO helpdesk at ecrhelpdesk@epfindia.gov.in and mention “RESET REGISTRATION”. Then, the employer or authorized signatory needs to sign and submit a form to the local EPFO office after receiving the SMS to confirm the registration reset before registering again.
- No Record Found – During mentioning the organisation ID, In such case, you need to verify the code and extension number and local EPFO office. If all details are right, then you need to contact in concerned EPFO regional/sub regional office.
An employer or authorized signatory can obtain the registration for multiple organisation?
Yes, the registration is organization based and same authorized signatory may be available in one or more organization..
Why an employer should register the organisation at EPFO portal?
After April 1st, 2012, the employers are required to generate challans and do return filing from the EPFO employer’s portal only. It means that employers have to register online. There is no option for offline registration process, so all new registrations should be made online.

In respect of exempted establishment under the P.F. Scheme employer is liable to pay only inspection charges at the rate of 0.18% of emoluments.
Is ecr correction done by employer or can employee also do the correction?
