In a recent update, the EPFO has stated that the formal sector employers will have to provide the details of their new employees online. This will be effective from October 1, 2017. Employees no longer have to file the PF Form 9.
PF form 9 is a declaration that is given at the time of joining a new company. Currently, the formal sector employers are filing Form 9 in a physical format to intimate about the new joinees.
The Employees’ Provident Fund Organisation has decided to do away with the filing of PF Form 9. Instead, they want to bring in an online process.
EPFO has taken this step in the wake of rapid computerization and as an initiative towards Electronic Paper-free Organisation.
The official added that since employee master is available in the system containing all relevant details of the employee like name, gender, DOB, DOJ, father’s/spouse’s name as well as Aadhaar & bank details fetched through electronic challan (PF return), submission of Form 9 in physical form by the employer can be discontinued.
The official also expressed that the digital exercise would boost e-governance. Electronic settlement of claims will help companies by easing the business processes due to the lack of paperwork.
If this comes in place, most of the paperwork will be online. The entire EPFO organisation is targeting August 2018 as a deadline to go paperless.

We’ve received notice from the regional EPFO, in order to submit current / latest Form-9 of EPF member. but as you have clarified above that the Form – 09 has been maintained by the regional office. My query is if we need to submit the same details to EPFO, so is there any appropriate format or what they are asking in it? only live employees details or left also? please help us out to disposal our query.
Sir, the physical format of Form 9 submission is discontinued instead employers have to submit the same in online mode.

As the process is online, the details will be maintained by EPF, not the employer.

A joint declaration by you and your employer, in prescribed format (available in EPF website), has to be submitted to the EPF field officer. This has to be given with relevant document supporting the change.
